A property manager should make owning an investment property easier to understand and easier to manage. When communication is inconsistent, maintenance is left unresolved or responsibility is unclear, owners can quickly lose confidence in the service they are paying for.
Changing agents may feel inconvenient, particularly when a tenant is already in place. However, staying with a service that is not meeting reasonable expectations can create greater risk over time.
Here are seven signs it may be time to review your current property management arrangement.
You rarely receive updates
Owners should not need to repeatedly ask what is happening with their property. Your property manager should provide clear updates about maintenance, rent reviews, lease renewals, arrears, inspections and other matters that may affect the property.
You do not know who is managing the property
It should be clear who is responsible for your investment and who you can contact when you need help. Frequent staff changes are not always avoidable, but owners should be introduced to their property manager and told how the team is supervised.
Maintenance matters are not followed through
Reporting a repair is only the first step. Good management includes trouble shooting, obtaining instructions, arranging trades, following up attendance, keeping the owner informed and confirming the matter has been completed.
You are surprised by decisions or costs
Unexpected charges, unexplained invoices or decisions made without proper discussion can damage trust. Fees and approval processes should be clear from the beginning.
Lease renewals and rent reviews feel reactive
Owners should be contacted with enough time to consider the tenancy history, current market, lease terms and future plans. Last-minute renewals can lead to rushed decisions.
Problems keep returning
A recurring issue may indicate that the underlying cause has not been properly investigated. A strong property management team looks beyond the immediate task and considers what else may be required.
You have lost confidence in the service
Sometimes the clearest sign is how the service makes you feel. If you are constantly checking, chasing or worrying, it may be time to compare your current arrangement with another agency.
What should you look for in a new property manager?
Ask who will manage the property, how communication works, how maintenance is tracked, what fees apply and who oversees the department. It is also worth asking how the agency handles a transfer during an active tenancy.
At Q State Properties, property management is a core part of the agency and is led by Property Management Principal Sandy Lower. We offer clear fees, no-cost management transfers and complimentary Annual Investor Audits for managed properties.
